About This Role
As our Customer Success Specialist, you'll be the heart of the Vitanova client experience. You'll work with individuals from all walks of life—busy professionals managing demanding schedules, people dealing with chronic pain, and anyone seeking to reclaim their physical confidence. Your role is to ensure that every interaction reflects our commitment to meeting people exactly where they are in their wellness journey.
This position combines relationship management, wellness coordination, and client advocacy. You'll be the person clients turn to when they need guidance, encouragement, or simply someone who understands that real wellness fits into real life, not the other way around.
What You'll Do
Client Relationship Management
Serve as the primary point of contact for client questions, concerns, and wellness planning
Conduct regular check-ins to ensure clients feel supported and progress is on track
Coordinate between clients and coaches to optimize their Three-Domain Integration experience
Wellness Journey Coordination
Guide new clients through onboarding, explaining our movement, nutrition, and recovery approach
Schedule assessments, sessions, and follow-up appointments with attention to client preferences
Track client progress and celebrate milestones that matter to their individual goals
Experience Optimization
Identify opportunities to enhance the client experience at every touchpoint
Gather feedback and communicate insights to coaching team for continuous improvement
Resolve concerns with empathy and solution-focused problem-solving
Community Building
Foster connections between clients who share similar wellness journeys
Coordinate wellness education events and community-building activities
Maintain the welcoming, judgment-free environment that defines Vitanova's culture
Who You Are
Professional Background
2+ years experience in customer success, wellness coordination, or client relations
Experience in healthcare, wellness, or fitness industry strongly preferred
Familiarity with scheduling systems and client management software
Natural Relationship Builder
Genuine empathy for people facing physical limitations or wellness challenges
Excellent listening skills with ability to understand what clients really need
Patience and warmth when working with clients who may feel vulnerable or frustrated
Communication Excellence
Clear, compassionate communicator who can explain complex wellness concepts simply
Professional phone and email presence with attention to detail
Ability to have difficult conversations with kindness and understanding
Problem-Solving Mindset
Proactive approach to identifying and resolving client concerns
Creative thinking for accommodating diverse schedules and needs

A Day in Your Life
Morning: Review client check-in messages and coordinate with coaches about session adjustments based on client feedback. Schedule follow-up calls with clients who recently started their programs.
Midday: Conduct video calls with clients to discuss their progress, address concerns, and plan next steps in their wellness journey. Update client records and communicate insights to the coaching team.
Afternoon: Welcome new clients through virtual onboarding, explaining how our Three-Domain approach will address their specific needs. Coordinate scheduling between clients and coaches while accommodating busy professional schedules.
Throughout: Respond to client questions with empathy and expertise, ensuring everyone feels heard and supported in their wellness transformation.
